Finding out that you need treatment can bring enough worries of its own. Then comes the insurance question. You may have paid your premiums for years, but when it is time to use the policy, the paperwork can feel unfamiliar. What needs to be submitted? How long will approval take? And, perhaps most importantly, how much will you actually have to pay?

At اپالو آیورویڈ, the insurance desk helps patients with the process for eligible treatments. You don’t have to work out every form and requirement on your own. It helps, though, to know what happens after you share your policy details, so you can plan your admission with a clearer picture of the next steps.

Getting started with your cashless claim

Apollo AyurVAID is NABH-accredited and ROHINI-registered, with a dedicated insurance desk and empanelment with multiple insurers. If you’re looking for cashless Ayurvedic treatment in India, you can begin by sharing your policy details and the treatment recommended by your doctor with the insurance team. One thing worth knowing from the outset: an insurer being empanelled with the hospital does not automatically mean every policy it offers covers every treatment. The details of your policy still matter.

Step 1: Get in touch before your planned admission

Start with your insurance card or policy number. The team will also need details of your proposed treatment, so keep your doctor’s prescription, consultation notes and relevant investigation reports nearby. You may not know which documents the insurer will ask for, and that’s perfectly fine. Share what you have with the insurance desk first. The team can help identify the paperwork required for your case and explain how the request needs to be submitted. If a report is missing or the insurer asks for more information, the insurance desk can help you understand what needs to be submitted. It’s better to catch these gaps before your admission date than to be chasing paperwork when you should be getting ready for treatment.

Step 2: The pre-authorisation request goes to your insurer

Once your documents are in order, the Apollo AyurVAID team sends the pre-authorisation request to your insurer or TPA. It includes your diagnosis, the reason for admission and the treatment your doctor has recommended. The doctor also records the necessary clinical details, including ICD and ROHINI codes where required.

Now comes the waiting, which can be frustrating when you’re trying to plan your admission. The insurer may respond within a few hours, or it may come back asking for another report or a little more information. If that happens, the hospital will need to share the additional details before the insurer can continue its review.

If your planned admission date is getting close and you still haven’t heard anything, give the insurance desk a call. It’s a small thing, but it can save you from making plans based on an approval that hasn’t come through yet.

Step 3: The route and waiting time depend on your insurer

The cashless Ayurveda claim process can differ depending on the arrangement between Apollo AyurVAID and your insurer or TPA. If your insurer or TPA already has an arrangement with Apollo AyurVAID, the request can be processed under the agreed terms and tariff. When all the required documents are in place, a decision is generally expected within 3–4 hours. That said, if the insurer comes back with questions or asks for another document, it can take longer.

What if your insurer isn’t empanelled with Apollo AyurVAID? The team may be able to explore a Cashless Anywhere arrangement, depending on the insurer’s requirements and whether both sides can agree on the terms. In such cases, the bill may be raised using the hospital’s Schedule of Charges (SOC), with any applicable discount agreed between the hospital and insurer or TPA. This route can take up to 72 hours, so it’s best not to leave the arrangements until the day of admission.

These are expected timeframes, not confirmed deadlines. Your insurer or TPA makes the final decision after reviewing your documents, policy terms and the applicable arrangement. If your admission is coming up, check with the Apollo AyurVAID insurance desk rather than assuming the request has been approved.

Step 4: Find out what the approval means for your bill

An approval letter is good news, but take a moment to read what it actually covers. The amount sanctioned by the insurer may not be the same as the final hospital bill. Depending on your policy, eligible inpatient expenses may include room charges, doctor’s fees, medicines administered during the stay, investigations related to the admission and other covered hospital expenses. Some items may be excluded, and policy limits may affect how much is payable. If you’re unsure about a figure in the approval letter, ask the insurance desk to explain it. There is no need to guess what an unfamiliar insurance term means, especially when it affects the amount you may have to pay. Knowing about a shortfall before admission also gives you time to consider your options.

Keep these documents within reach

Insurance paperwork is much easier to manage when everything is in one place. You don’t need to have every document ready before making your first enquiry, but the following are useful to gather:

  • Your insurance card and policy details.
  • A valid photo ID.
  • Your doctor’s prescription, consultation notes and proposed treatment plan.
  • Previous medical records and investigation reports, where relevant.
  • Pre-authorisation forms and any additional documents requested by the insurer or TPA.

Once you are discharged, hold on to the discharge summary, final bill, payment receipts and relevant medical records. These may be needed for final claim processing or reimbursement.

A small practical tip: keep copies of the documents you submit and any approval communication you receive. If a question comes up later, you will have the information to hand rather than having to search through old messages.

If the cashless request is declined

A rejected request can be upsetting, particularly if you were counting on insurance to help manage the cost. Before deciding what to do, find out why the request was declined. The reason matters because it helps establish whether another route may be available.

Reimbursement is one possibility. You pay the hospital bill and submit the required documents to your insurer or TPA. The insurer then assesses the claim under your policy. Reimbursement is not automatic, so ask whether your circumstances qualify before relying on this option. If documents were missing, check whether the issue can be addressed. If the rejection relates to a policy exclusion, ask the insurer what that means for your claim.

If your insurer does not approve a regular cashless request, another option may still be available. In eligible cases, Apollo AyurVAID can explore a third-party-supported cashless arrangement. The third party reviews your policy, treatment details and claim documents before deciding whether to proceed. If approved, you’ll receive a letter stating the amount sanctioned and any expenses you’ll need to pay yourself, including applicable non-medical charges. Apollo AyurVAID manages the difference between the hospital bill and the approved amount as agreed under the arrangement. You won’t be charged handling fees for this service, but you will need to pay the specified non-medical expenses, sign an MOU and provide an eNACH or auto-debit mandate.

The third party then collects the documents and follows up on the claim. Once the insurer or TPA settles the approved amount with you, the third party collects the agreed sum through the authorised mandate, as set out in the MOU. Before you agree to this option, take time to understand the figures. Ask how much has been approved, what you’ll need to pay upfront and how the later settlement will work. This arrangement is subject to eligibility and isn’t available for every patient or claim.

Making room for the expenses insurance doesn't cover

Even with approval in place, there may be costs you need to manage yourself. These can include non-payable items, expenses above policy limits or amounts the insurer has not authorised. Ask the insurance desk to explain any expected shortfall before admission, where possible. Apollo AyurVAID also offers a 0% EMI option for eligible treatment amounts. Approval, eligibility and repayment tenure depend on the financing partner’s terms. If paying the full amount at once would be difficult, it may be worth asking whether this option is available for your treatment. You shouldn’t have to figure out the financial side of treatment by piecing together bits of information. Ask the questions that matter to your situation, take time to understand the approval and make sure you know what you may need to pay before admission.

Disclaimer: Insurance coverage, cashless approval and reimbursement are subject to the terms and conditions of the individual policy, medical necessity, insurer or TPA requirements and applicable arrangements. Empanelment does not guarantee approval. Confirm your eligibility, approved expenses and any amount payable by you with the Apollo AyurVAID insurance desk and your insurer before admission.
